Find Newly Registered Healthcare Providers

Overview

Every healthcare provider in the United States must obtain an NPI before they can bill anyone. That registration is the moment a practice becomes real — and it's immediately followed by a wave of decisions: EHR, billing and revenue cycle, malpractice coverage, supplies, equipment, staffing, credentialing. Most of those vendors get chosen in the first few months and then keep the account for years.

This Hound watches new NPI registrations in your market, filters for the providers and specialties you serve, finds the practice owner or office manager, and opens the conversation while the vendor decisions are still open.

How to set it up

Four things to brief your Hound. This is the exact configuration behind this play.

A · Describe the opportunity

This is the brief every source is filtered against. You describe what you're looking for in plain language, add keywords to sharpen it, then set the structured criteria.

Tell Forest what you're looking for:

"I'm looking for newly registered healthcare providers and practices in my market — new NPIs in the specialties I serve, especially organizational NPIs (Type 2), which mean a new practice rather than an individual joining an existing group. I want them within weeks of registration, before they've chosen their vendors. Prioritize new independent practices over providers joining large health systems, since the latter already have everything. Skip specialties I don't serve and providers outside my territory."

Keywords to watch for: new practice · now accepting patients · opening · private practice · joins · [your specialties, e.g. dermatology, orthopedics] · [your product category] · [your metro area]

Fields to extract: provider_name · organization_name · npi_number · npi_type · taxonomy_specialty · practice_address · enumeration_date · phone · authorized_official

Match criteria:

  • ✓ NPI enumerated within the last 60 days

  • ✓ Taxonomy/specialty matches who you sell to

  • ✓ Type 2 (organizational) NPI, or Type 1 at a new practice address — signals a real opening

  • ✓ Practice address in your territory

  • ✗ Exclude providers joining large health systems (vendor decisions already made)

  • ✗ Exclude specialties outside your catalog

B · Choose the sources to monitor

Provider registration is federal, public, free, and — critically — published as a weekly incremental file of new registrations. That's a purpose-built new-provider feed.

CMS NPPES (free — connected by default) 🟢

  • NPPES Weekly Incremental Filedownload.cms.gov/nppes/NPI_Files.html — CMS publishes a weekly update file of new and changed NPI records. This is the core feed for this play: it is the new-provider list, refreshed every week. (Use Version 2 — CMS retired V1 in March 2026.)

  • NPI Registry APInpiregistry.cms.hhs.gov/api-page — Free public API, no key required. Query by specialty, city, state, or taxonomy for live lookups and enrichment.

  • Monthly full-replacement file — same source — the complete registry (~8M records) when you need the full picture.

State licensing boards 🔵 — bring your own link — Pair NPI data with your state's license lookup (see the Professional Licenses use case). Important: an NPI does not verify that a provider is licensed or credentialed — CMS says so explicitly. If licensure matters to your pitch, check the board.

News & Press 🟡 default source, always on — reads the open web against your brief for practice-opening announcements, "now accepting patients," and new-provider coverage in local press.

C · Define the ICP to reach

Who to reach at the new practice, in priority order, with fallbacks.

  1. Practice Owner / Provider — Primary — makes the vendor decisions at a new practice — PRIMARY

  2. Practice Manager / Office Administrator — Runs operations and buying day to day

  3. Authorized Official on the NPI record — Fallback — this field is in the data, which makes it a reliable contact path — FALLBACK

D · Email & LinkedIn sequence

The play the Hound runs for each match. Fields from the registry drop in as variables.

Email · Day 0 Congratulations on opening {{organization_name}} — saw the new registration. Getting a practice running means a stack of decisions fast, and {{your_offering}} is one that's much easier to set up now than to switch later. We work with {{taxonomy_specialty}} practices in {{metro_area}}. Worth a quick call while you're still setting things up?

↓ Wait 3 days · no reply

LinkedIn · connection request · Day 3 Hi {{first_name}} — congrats on launching {{organization_name}}. Would love to connect.

↓ Wait 4 days · no reply

Email · Day 7 · follow-up Following up — happy to send a short checklist of what most new {{taxonomy_specialty}} practices set up in their first 90 days, no strings. And if you're already sorted on {{your_offering}}, glad to be a second option down the road.

⏸ Any reply on either channel pauses the whole sequence — the conversation is yours.
